Privacy Policy

Last updated: July 19, 2026 · Effective: July 19, 2026

Village exists to be a careful custodian of an association's records. That custodial posture applies to personal information too: we collect what the product needs to work, we don't sell it, and your association's data belongs to your association.

1. Who we are

Village ("Village," "we," "us") provides software for self-managed homeowners associations and their members. This policy covers our marketing site, the Village application, and related services (the "Services"). For members using Village at the direction of their association, the association is the controller of association records and Village acts as its service provider/processor.

2. Information we collect

3. How we use it

4. Who we share it with

We share personal information only with service providers that help us run Village, under contract and only for that purpose:

Within a given association, access is role-based: board administrators and members see only what their role permits, and separate associations never see each other's data.

5. We do not sell your information

Village does not sell personal information, and does not share it for cross-context behavioral advertising. Not selling your data is core to how the business works: we intend to earn revenue by moving and safeguarding associations' money well, never by monetizing personal data.

6. Your rights (including California)

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, and to opt out of certain processing. California residents (under the CCPA/CPRA) have the rights to know, delete, correct, and to limit the use of sensitive personal information, plus the right not to be discriminated against for exercising them. Because we do not sell or share personal information for advertising, there is no "Do Not Sell or Share" activity to opt out of — but you may still submit access and deletion requests. You can export your association's records at any time from Settings, and request account or association deletion by contacting us at privacy@villagehoa.co.

7. Retention & deletion

We keep association records for as long as the association uses Village, and as needed to comply with legal, tax, and audit obligations. You can export everything in open formats at any time. On a verified deletion request, we delete or de-identify personal information except where retention is legally required. Note that some records (such as finalized minutes and ledger entries) are intentionally immutable within an active association to preserve the integrity of the association's official record.

8. Security

We protect data with encryption in transit, role-based and row-level access controls, private file storage with time-limited access, and append-only protection for official records. No system is perfectly secure, but our practices and roadmap are published openly. To report a vulnerability, email security@villagehoa.co.

9. Children

The Services are intended for adults managing or participating in a homeowners association and are not directed to children under 13 (or the applicable age in your jurisdiction). We do not knowingly collect their personal information.

10. Changes & contact

We may update this policy; material changes will be posted here with a new effective date. Questions or requests: privacy@villagehoa.co. General contact: villagehoa.co/contact.
